2. Preview explicit cleanup Every column starts with “Keep exactly.” Cleanup never guesses a name, address, date, ZIP code or identifier. No row is automatically removed or combined.

Exceptions to review
Every exception and original/current row is included in the audit download.
3. Select source rows Each stable row ID refers to one source record, even when values repeat. Select no more than 25 rows per county lookup batch. Selection never deletes other rows.

4. Compare official county candidates County for every selected lookup rowChoose verified coverage Wake County, North Carolina Another county — not supported Map only columns you intend to use as search input. PIN and REID are different identifier types. Property/situs address is not the owner’s mailing address. Leave unavailable fields unmapped. Map property county/state columns when provided; contradictory jurisdictions block lookup. Choosing Wake County confirms the intended jurisdiction for rows without those columns.
What leaves your browser? CSV contents are not sent when you load, clean or preview a CSV. Only after you review a query preview and click Start these county lookups , the listed query values are sent directly from your browser to maps.wake.gov , Wake County’s official ArcGIS service. Exact PIN is preferred, then exact REID; other supplied fields are compared locally. Without an ID, mapped name and/or property address are sent for a candidate search. Wake County also receives network information such as your IP address and may log requests under its policies.
ParcelNotice does not upload/store the CSV, search values or returned records in its backend or include them in usage analytics. No geocoder or third-party enrichment broker is used. Do not query sensitive information or a list you are not authorized to use. Privacy details .

One request at a time, at least 1.2 seconds apart; 15-second request timeout. No automatic retries. Errors, access restrictions, rate limits or challenges stop the batch. More than 20 candidates requires a narrower query. A new attempt must be explicitly initiated after reviewing the cause.
5. Review proposed fills and conflicts Select a candidate above, then map the destination of each county field. Existing values are never overwritten silently. New columns are created only when you accept a proposal. Check each value you want to apply; unselected values stay unchanged.
County mailing ADDR1/ADDR2/ADDR3 are kept as supplied; city/ZIP from property fields are never substituted. Retrieval time is recorded. This county layer does not establish a per-record updated date. Dataset/deed/sale dates are not ownership-effective dates.
6. Use reviewed rows for letters Map current columns explicitly. This creates a separate ParcelNotice draft for the selected rows only; it does not alter your original or clean CSV. Unmapped custom columns and full county evidence stay in your CSV/audit, not the limited letter model. Duplicate typed parcel identifiers, incomplete required fields and more than 250 selected rows block this handoff. Nothing is deduplicated.
I reviewed the selected row count, Wake County scope, identifier types, recipient and complete mailing-address mapping. I will review the recipient list and wording again before any use.Download reviewed letter draft Then open ParcelNotice and choose Load draft . Review recipients, choose your letter wording and complete all required checks. The blank custom letter makes no legal claim. This step neither sends mail nor certifies service.
