Prepare a property notice batch.

A reliable batch starts with the recipient list and ends with a printed proof. ParcelNotice keeps these tasks in four steps, with Continue buttons at the top and bottom of each section.

1. Select and review the properties

Use the map or import a CSV. Check the owner, mailing address, property address, county, and parcel identifier for each record. If you group identical owners and mailing addresses, preview the combined property references too.

2. Choose the wording for your project

In Create letters, use What are you preparing? to choose from templates grouped by surveying, engineering, planning, utilities, construction, and project legal work. Choose Custom project correspondence for your own wording. The North Carolina right-of-entry template is editable; it is not automatically appropriate for every organization or project. Confirm the authority, timing, and text before sending a notice. The tool does not calculate or certify a legally sufficient delivery date.

3. Fill in the project and organization

Enter the project name, date, organization, department, return address, project manager, phone, and email. Complete the fields shown for your chosen wording. Meeting invitations show meeting and participation details; access letters show work and access details. Adding a supported merge tag to the subject or body reveals its field. Edited wording is kept for each template while this tab stays open. US phone entries format automatically as (333) 444-5555.

Upload a PNG or JPEG logo and choose left, center, or right placement. The organization footer displays the name, return address, phone, and website as plain centered text. Check long organization names and addresses in the generated PDF.

Add an optional signature image

In Signature image, choose a PNG/JPEG or paste a copied image into the paste box. A tightly cropped transparent PNG gives a clean result. The image is processed only in this tab and appears between “Sincerely” and the typed signer details in each letter PDF, including individual PDFs in a ZIP. It does not appear on envelopes or labels. Remove it to leave room for signing by hand. The PDF embeds the image; this is not certificate-based digital signing.

Complete the Signer and organization section. Its name/title, organization, department when supplied, complete mailing address, phone, and email appear after “Sincerely.” Preview placeholders are not printed. The entire closing stays together when the letter continues onto another page.

4. Preview every recipient

Use the recipient dropdown to inspect the merge. Check names, PINs, property descriptions, dates, contact details, and paragraph spacing. Remove unfinished placeholders. If the tool identifies an incomplete field, resolve it before downloading.

5. Download and proof the batch

Continue to Downloads and confirm the review checkbox. Download one combined letters PDF or a ZIP containing individual PDFs. One completed download is counted as one batch when optional measurement is allowed, regardless of the number of recipients. Repeated exports are separate batches.

Open the PDF and inspect a representative letter before printing. Then generate envelopes or mailing labels from the same reviewed list. Save the selection CSV and final files for your project records; the tool does not keep your project after the tab closes.
