Prepare planning letters and meeting invitations

Bring project information and meeting details together in a consistent letter to reviewed property owners.

1. Choose an invitation, information letter, or approved notice

Start with a neighborhood meeting invitation or planning project information letter. For a required notice, choose Agency-approved notice and paste the approved main paragraphs into the letter body.

2. Establish the recipient list

Follow the reviewing agency’s instructions about the notice area, recipients, and delivery. ParcelNotice’s selected tax-owner list does not automatically include tenants or all occupants, and drawing a selection area does not certify a required notification radius.

3. Complete the meeting details

Include the date, time and time zone, address or joining instructions, topics, and RSVP or participation instructions. A supported merge tag added to the subject or body reveals its corresponding field. Preview the final text, especially online meeting links.

4. Check the mailing format

The letter format adds the organization header, recipient and PIN, date, subject, greeting, and signature. Confirm that this structure suits the agency’s approved notice. Download and review the full batch; mailing and proof-of-service steps are handled separately.
