Choose available parcels in North Carolina, Texas, Florida or Ohio, or import an authorized list for Virginia and South Carolina. Personalize letters and print envelopes or labels. Ohio live lookup covers three counties. VA and SC are CSV-import only; statutory workflows remain limited. Use available map records or your own list. Always Free.

Ohio live sources: Franklin County Auditor, Hamilton County CAGIS/Auditor, and Cuyahoga County Fiscal Office. Other Ohio counties support authorized CSV imports only. Coverage and data-use notes.
Florida records: Florida GIO, Florida Department of Revenue, and contributing county property appraisers. Texas records: TxGIO and county appraisal districts. Availability and completeness vary. Verify current owner mailing details before sending.
Parcel source: NC OneMap (2019), North Carolina Department of Information Technology, Government Data Analytics Center, Center for Geographic Information and Analysis. Data terms. Update dates vary by county. Review the state transformation date and mailing address for each selected parcel; GIS parcel data is not a survey.

CHECK BEFORE MERGING
Review the recipient list
Use the owner’s mailing address for delivery. Keep the property address separate.
No properties selected.
Keep the complete owner name in Owner / recipient, even when it wraps. Mailing fields can contain multiple lines; keep units, PO boxes, city, state and ZIP with the address. A secondary company may occupy line 1, so the delivery street and final city/state/ZIP may be in lines 2 and 3. Check all three. Older drafts retain their stored data; refreshing does not restore a missing address line.

YOUR WORDING, MERGED
Prepare the notice
State-specific and general-purpose letters.
Ohio: choose a letter for its supported purpose.
Choose from 17 Ohio drafts for introductions, appointments, updates, courtesy invitations and voluntary requests. The agency-entry draft requires verified appropriation authority, agency approval, qualified recipients and actual notice timing.
Unsupported Ohio uses
ODOT, ODNR, conservancy, telephone-company and other special entry routes use their own reviewed process. This tool does not provide required zoning/hearing/permit, lien, formal HOA enforcement, eviction, tax, acquisition, condemnation or relocation notices.
The agency draft excludes buildings, invasive testing, construction, forced access, railroad/restricted sites and specially controlled public/federal/tribal land. Custom wording does not make these uses supported. Tax-owner records are not a certified notice list. See Ohio scope and sources.
Florida: choose a letter for its specific purpose.
Professional and agency entry drafts have eligibility checks. Other letters are informational correspondence. Parcel coverage does not establish local notice compliance.
Unsupported notices and access uses
Use the responsible authority’s process for required zoning/hearing/neighborhood notices; permit, lien, formal HOA enforcement, eviction or tax notices; regulated utility interruption, excavation or safety notices; acquisition, condemnation or relocation notices. This tool does not validate their recipients, format, attachments or service.
Statutory entry drafts also exclude railroad/restricted/public land, building entry, intrusive testing and construction. A custom letter does not make these uses supported. See Florida scope and local exceptions.
HOA correspondence: verify the association and the recipient.
Edited wording is kept for each template while this tab stays open.
HOA details and required reviews
Fill the letter details first, then complete the review choices. Changes to letter details or recipients clear the review choices. No notice is sent by ParcelNotice.
* Required for this template. Complete the marked fields to prepare this letter. These are document-completeness requirements, not a statement that the law prescribes these website fields. All other inputs are optional. Required merge fields update when you edit the letter.
Each field above shows its exact merge code in parentheses. Copy that code into the letter where its value should appear—for example, {{signer}} inserts the signer’s name and {{signer_title}} inserts the title.
Each letter automatically includes the logo and department header, date and PIN, recipient address, greeting, closing, and organization footer. Put only the main paragraphs here.
This is the same layout used in your download. Choose the matching paper size in your printer settings and print at 100% / actual size. If the embedded viewer is unavailable, open the PDF using the link above.
Select at least one parcel to preview a letter.

STEP 4 OF 4
Letters and mailing documents
Download your notices, then choose envelopes or mailing labels for delivery.
Personalized project letters with the recipient, PIN, selected template wording, and your organization’s letterhead. Choose Letter, Legal, or A4 in Page layout, then print on matching paper at 100% / actual size.
Add properties and project details to begin.
Envelopes or mailing labels
Print each owner’s name and mailing address directly on an envelope or on an adhesive label. No letter setup is required for recipient addresses.
#10 business envelopes: 9½ × 4⅛ inches · one envelope per PDF page.
Leave this off for preprinted return addresses. Recipient addresses print without PINs, logos, or letter text.
Open the PDF and choose Print. Select #10 Envelope paper, landscape, 100% / actual size, and one-sided printing. Use your printer’s envelope tray or manual feed as instructed by its manufacturer. Test one envelope before printing the batch.
Labels keep the complete owner name in a separate regular-weight block above the full mailing address. Each label automatically uses the largest fitting size: 9.5, 9, 8.5 or 8.2 pt. This automatic sizing is independent of the letter text-size controls. Keep the city, state and ZIP on the final mailing-address line, below the street/suite. Clearly incomplete domestic locality data stops label downloads; unusual or international formats require source review. If all information will not fit legibly, downloading stops and identifies the recipient; use envelopes or a larger label rather than shortening names or addresses.
Avery 5160 layout: 30 labels per US Letter sheet · 1 × 2⅝ inches. Check your label stock.
Open the PDF and choose Print. Use US Letter, 100% / actual size, and one-sided printing; turn off “Fit to page.” Test on plain paper and compare against a label sheet before using label stock.
